Mindworks Privacy Policy
1. Who we are
This policy explains how [Mindworks, Inc.] ("Mindworks," "we," "us") handles information in connection with our business software platform (procurement, CRM, and quote-to-cash tools). Mindworks is built for business use.
2. Information we collect
- Account and contact info: name, email, company, and similar details you give us when you sign up or contact support.
- Data you put into Mindworks: the records you create or upload — purchase orders, vendor and customer records, quotes, invoices, and related business and financial data.
- Information about your contacts: when you use the CRM and quote-to-cash tools, you may add information about your own leads, contacts, and customers.
- Bank and payment info: when you connect a bank account or move money, information needed to do that (handled largely by our payment providers — see Section 5).
- Usage and device info: basic technical data such as log data, device and browser information, and how you use the service.
3. How we use information
We use information to provide, maintain, secure, and improve the service; to set up and support your account; to process payments you initiate; to communicate with you about the service; and to meet legal and compliance obligations.
4. Information about your contacts (CRM and quote-to-cash)
When you load information about your leads, contacts, and customers into Mindworks, we process it on your behalf to provide the service. You are responsible for having the right to share that information with us and for handling your own privacy obligations to those people. The formal version will include a Data Processing Addendum covering this.
5. How we share information
We don't sell your personal information. We share it only as needed to run the service, including with:
- Payment and banking providers — Plaid and Dwolla. When you connect a bank account or move money, we share relevant information with Plaid (bank connections and transfers) and Dwolla (payments) so they can provide those features. Plaid and Dwolla handle that information under their own privacy policies, which are separate from this one — please review them: [Plaid Privacy Policy: link] / [Dwolla Privacy Policy: link].
- Service providers that help us operate (for example, hosting and infrastructure), under confidentiality obligations.
- Legal and safety reasons — if required by law or to protect rights, safety, or the integrity of the service.
- Business transfers — in connection with a merger, acquisition, or sale of assets.
6. How we protect information
We use reasonable administrative, technical, and physical safeguards designed to protect information. No system is perfectly secure, but we work to keep your data safe and to limit access to those who need it.
7. How long we keep information
We keep information for as long as your account is active and as needed to provide the service and meet legal obligations. After your account ends, we'll give you a reasonable chance to export your data before deleting it.
8. Your choices and rights
Depending on where you're located, you may have rights to access, correct, delete, or limit the use of personal information. For information you've loaded about your own contacts, we'll generally direct those requests to you, since you control that data. To make a request, contact [privacy@mindworks.com]. The formal version will detail rights under laws such as the GDPR and CCPA/CPRA.
9. Cookies
We use cookies and similar technologies to run the service and understand usage. A fuller cookie explanation will come with the formal version.
10. Children
Mindworks is for business use and not directed to children under 18, and we don't knowingly collect their information.
11. Changes and contact
We may update this interim policy, and it will be replaced by a formal version. Questions or requests: [privacy@mindworks.com].
